How to request deletion

   Email your request

   Send an email to products.qubixcode@gmail.com from the email address registered on your PayrollKit account, with the subject line "Account Deletion Request".

   Tell us who and what

   Include your organization name and your name/role (owner, admin, manager, HR or staff). If you are an organization owner requesting deletion of the entire organization, please say so explicitly — otherwise we will delete only your individual user account.

   We verify and confirm

   We verify the request against the registered email and reply to confirm what will be deleted before proceeding.

   Deletion is processed

   We delete the account and associated data within 30 days of a confirmed request, subject to the retention exceptions below.

What gets deleted

• Login credentials and authentication data
• Profile details: name, email, phone, profile photo
• Employee records you own or manage (contact info, department, designation, identity documents), if the organization is deleted
• Attendance, payroll ledger, advances, expenses, income, purchases and stock entries tied to the deleted account or organization

What we retain, and why

Some data cannot be deleted immediately even after your request is processed:

• Payroll, salary and financial records required to be retained under applicable tax, labour or accounting law, for the legally mandated period
• Records reasonably necessary to resolve disputes, enforce our agreements, or prevent fraud
• Anonymized or aggregated data that no longer identifies you or your organization

Deleting specific data without deleting your account

You don't have to delete your whole account to remove specific data. Organization admins can edit or delete individual employee, attendance, payroll, advance, expense, income, purchase and stock records directly in the app. Employees who want their own personal data corrected or removed without a full account deletion can email products.qubixcode@gmail.com and we'll route the request to the relevant organization admin or action it directly where we are able to.
