Privacy Policy

PayrollKit ("we", "us", "our") is a mobile app that helps organizations manage employees, attendance, payroll, advances, expenses, income, purchases and stock. This policy explains what data we collect through the app, how it is used, and how it is protected for every organization and its employees.

By creating an organization account or using PayrollKit as an invited user (admin, manager, HR or staff), you agree to the collection and use of information as described here.

Account data. Name, email address, role, and organization details provided when an account is created or an employee is added.

Employee records. Contact information (email, phone, address), department and designation, joining date, monthly salary, opening balance, employment status, and — where uploaded by an organization admin — a profile photo and identity document images.

Operational data. Attendance records, payroll and salary ledger history, employee advances, expenses, income entries, purchases, supplier details, and stock levels entered by your organization.

Usage data. Basic diagnostic information (such as app version and crash logs) used to keep the app reliable. We do not use third-party advertising trackers.

• To operate core features: payroll calculation, attendance, advances, expenses, income and stock tracking.
• To authenticate users and enforce organization-level access control.
• To generate payslips and reports requested within the app.
• To maintain, secure and improve the reliability of the service.
• To communicate essential account or service notices.

Data is stored with Supabase (PostgreSQL, Auth and Storage) using Row Level Security. Every table is scoped to your organization's organization_id, so records from one organization are never visible to another.

Identity documents and profile photos are stored in access-controlled storage buckets, namespaced per organization and employee.

No method of transmission or storage is 100% secure. We use industry-standard safeguards, but cannot guarantee absolute security.

We do not sell organization or employee data. Data is shared only with the infrastructure providers necessary to run the service (currently Supabase, for database, authentication and file storage), or where required by law.

Data is retained for as long as your organization's account is active. If an organization deletes an employee record or closes its account, associated data is removed or anonymized within a reasonable period, except where retention is required for legal or accounting purposes.

Organization admins can access, correct, export or delete employee records directly within the app. Individual employees who wish to review or correct their own data should contact their organization's admin, who controls the records.

PayrollKit is a business tool intended for use by organizations and their employees. It is not directed at, and we do not knowingly collect data from, children under 16.

We may update this policy as PayrollKit evolves. Material changes will be reflected by updating the "last updated" date below. Continued use of the app after changes means you accept the revised policy.
